KUALA LUMPUR, Oct 2 (Bernama) -- Artificial intelligence (AI) is now widely used to create business documents, but new research from Templafy suggests businesses are not yet capturing its full productivity potential, as faster document generation does not always translate into faster completion.
According to The Business-Ready AI Gap 2026, 90 per cent of knowledge workers in the United States and United Kingdom use AI to create business documents at least weekly, while 95 per cent still edit the output before it is ready for use. Employees spend an average of nearly four hours a week reviewing, correcting and validating AI-generated documents.
In a statement, Templafy co-founder, Christian Lund said the advantage of AI will increasingly depend on how effectively companies connect the technology to their knowledge, standards, expertise and established ways of working.
Nearly half (48 per cent) said the amount of review required can leave little time actually saved, highlighting a gap between AI-generated output and documents that are accurate, company-specific and ready for use.
While 60 per cent of respondents said their first AI-generated output is polished enough to use with minimal editing, 34 per cent of those who spend more than an hour revising a document said editing can take longer than creating it themselves.
Accuracy was the most common issue requiring correction, cited by 40 per cent of respondents, followed by generic or formulaic phrasing at 34 per cent and formatting at 31 per cent.
The research found that 42 per cent of respondents said their AI tools do not have sufficient access to approved company source content, while about 40 per cent said the tools struggle to incorporate such content. Only 30 per cent said approved templates, content or assets are automatically applied.
The widespread use of AI is also raising concerns over differentiation, with 59 per cent saying AI-generated business documents can make different companies sound too similar and 56 per cent saying such documents often feel generic. Forty-two per cent identified loss of trust or credibility as a key risk of increasingly generic business content.
Templafy’s platform data also points to growing adoption of AI agents, with usage among enabled users rising from 31 per cent in December 2025 to 66 per cent in August 2026. Across more than 29,000 analysed sessions, median document creation time fell from about two hours without agents to eight minutes with agents, according to the company.
